TERMS & CONDITIONS

 

BESPOKE WEDDING STATIONERY ORDERS

 

Deposit and Payment

A non-refundable 50% deposit is required when placing an order and must be cleared before any work is carried out. Payment of the deposit is taken as acceptance of these terms and conditions. The balance is payable when an order is ready to be printed. Your order will not be sent to print until your balancing payment is received and cleared. Any money outstanding after 7 days of the invoice date will incur interest at a rate of 8% per annum. Chartula accepts payments in pounds sterling by cash, cheque and BACS transfer.

Cancellation Policy

Orders cancelled before you have approved your proofs will be charged at 50% of the order value, or on the basis of time spent plus any costs incurred by Chartula, whichever is the greater. Orders cancelled after you have approved your proofs will be charged in full and the balance is payable immediately on demand.

Refunds & Replacements

Due to the personalised nature of each order Chartula does not refund or replace unwanted goods. Please refer to our cancellation policy above. In the event of faulty goods you should notify us immediately, and no later than 5 working days from receipt of your stationery, and return your stationery to us in it’s original packaging. Upon receipt of your stationery if it is deemed to be faulty on the part of Chartula we will correct or replace your stationery with the same. In the event that it is not possible to correct or replace your stationery with the same Chartula reserves the right to offer an alternative or similar replacement. In the unlikely event that we are not able to correct or replace your stationery we will offer you a refund for the amount paid for the faulty part of your order. We will only offer you a full refund if your whole order is faulty. Alternatively you may choose to keep any stationery deemed faulty on the part of Chartula and we will discount it by 10%. Chartula print to order. Minor variations in colour, texture, size and positioning can occur and do not constitute a fault. Laser cut stationery is very delicate, burning and fraying, and small areas torn or removed are part of the laser cutting process and do not constitute a fault. If you ask us to undertake an unusual or experimental printing or production technique to achieve your desired stationery Chartula cannot be responsible for the outcome and no refunds will be given. Chartula cannot be liable for the cost of any additions to your stationery, such as calligraphy, that you have paid to have on faulty stationery. All refunds will be given via the original method of payment.

Wording

Text should be typed clearly in a Microsoft Word document or email and emailed to Chartula. Please type in upper and lower case as required, regardless of your chosen typeface. Text not provided in the format referred to above will incur an administrative fee and will delay your order. Chartula is not responsible for typing, spelling or other errors in the text you have supplied.

Proofs

We will provide you with up to 3 sets of proofs (2 rounds of changes) for your approval before printing. Where your order includes bespoke illustrations/designs/monograms/maps we will provide you with 2 sets of proofs (1 round of changes) for this part of your order for your approval before printing. Additional changes/proofs are charged at £20 each. Proofs will be emailed to you as a black and white pdf file. At our discretion we may be able to provide you with colour proofs. However these will not be an exact match to your finished stationery due to the different printing methods involved. You must print this file, check it and ensure that you print your proof at the correct size. You should list any changes, in order, clearly, in a Microsoft Word document or email and email them to us (please refer to the proof we should make changes to by its file name). When you are satisfied with your proof(s) you should email us your approval, listing the file names of the proof(s) you approve, in order for printing to commence. Once your emailed approval to print has been received we will issue you with your balancing invoice, once this is received and cleared we will send your order to print. If you make any changes to your proofs after your approval to print has been received you will be charged for these on the basis of time spent plus any costs incurred by Chartula. Chartula cannot be responsible for any errors in your stationery not spotted by you at the proofing stage.

Bespoke Illustration/Design/Monogram

Bespoke illustrations/designs/monograms refers to any new illustration design ormonogram that we create for your stationery as well as any tweaks, changes or amendments we make to our existing illustrations/designs/monograms, including our lasercut stationery. Bespoke illustrations/designs/monograms are based on your requirements. If you change your illustration/design/monogram requirements at any stage after you have placed your order this will be classed as a new illustration/design/monogram and you will be charged in full for this, as well as for any previous illustrations/designs/monograms. All illustrations/designs/monograms remain the copyright of Chartula Studio Ltd and are not to be reproduced or transmitted in any form, by any means. We reserve the right to offer any illustrations/designs/monograms we have created for you to other clients and to use them on our products/advertising/marketing. Should you wish us to assign copyright we can discuss your requirements with you.

Maps

To design your map we require you to provide us with an accurate digital map of the area you wish us to map. If you change your map requirements at any stage after you have provided us with an accurate digital map this will be classed as a new map and you will be charged in full for this, as well as for any previous maps.

Timeframes & Rush Service

For existing designs we will endeavour to provide you with proofs of your stationery 10 working days from receipt of your wording and cleared deposit. If your order contains a bespoke illustration/design/monogram or map we will endeavour to provide you with proofs of your stationery 20 working days from receipt of your wording/digital map/illustration/design/monogram requirements and cleared deposit. For existing designs printing/production takes approximately 20 working days depending on your chosen printing/production method. If your order includes a bespoke design or requires more than one printing/production method printing will take longer and will depend on your chosen printing/production method. Subject to availability a Rush Service is available which will reduce the above proofing times by 7 working days and printing/production times by 5 working days. This will incur an additional Rush Fee of 25% of your whole order. Subject to availability and for blank envelopes only Chartula is able to offer an Early Envelope Service which despatches your envelopes before the rest of your order, 5 working days from receipt of your cleared deposit. This will incur an additional fee of £20 plus delivery. You should advise us when ordering if you require our Rush Service or Early Envelopes. If you delay in paying your deposit, supplying us with the necessary information to process your order, or approving your proofs, your order will be delayed. We cannot be responsible for any delays in your order caused by circumstances beyond our control. Chartula cannot be liable for any costs incurred by you due to a delay in your order. All times are approximate and subject to change.

Delivery

Stationery orders are delivered via a courier or postal service. Standard delivery within the UK is included in your order. If you require an express delivery service, or delivery outside of the UK this can be arranged and we will advise you of the cost which will need to be paid in full before we despatch your order. Deliveries will need to be signed for upon receipt.

Copyright Information

All designs are Copyright Chartula Studio Ltd or are licensed by Chartula. All rights are reserved. Designs are not to be reproduced or transmitted in any form, by any means without our prior written permission. You are responsible for ensuring that you have obtained all necessary consents and permission in relation to any images, photographs and text that you ask us to include in your stationery.

Marketing

We reserve the right to use any stationery we create for you to promote our products and services.

Privacy and Data Protection

Chartula collects any information given during the course of enquiring, ordering and registration process. We keep this on record to assist our administration and for future marketing initiatives. We do not sell or pass to anyone information contained on customers, which remains confidential to the company. All data is collected lawfully and in accordance with the Data Protection Act 1998.

Unforeseen Circumstances

While every effort will be made to meet demands; cancellations or variations may be necessary as a result of Act of God, War, Strike, Lockout, Labour Dispute, Fire, Flood, Drought or other causes beyond the control of Chartula.

Charges and Fees

Unless otherwise stated all additional work including proofs, consultations, illustrations, maps and our administrative fee, will be charged on the basis of time spent at a rate of £115 per hour plus expenses.

 

SAMPLE PACKS

Sample packs can be ordered from our online shop. A minimum of five samples is included in each sample pack. Bespoke Sample Packs contain a selection of samples hand picked to best fit the description and details your provide when ordering. They DO NOT include our concertina laser cut designs, which can be added to your pack individually for an additional charge. We will do our best to provide you with any designs you specifically request (subject to an additional fee for concertina laser cut designs). However some designs and colours may not be available, in which case we will provide a substitution. Sample packs are sent out weekly by Royal Mail. Sample packs are not sent out during business and public holidays. The cost of your sample pack(s), up to a value of £30 will be credited towards your first stationery order. You will need to provide your sample pack order number to receive your credit.

Refunds & Returns

If you are not happy with your sample pack please return it to us within 7 days of receipt for a full refund. Please note that incomplete sample packs, damaged samples or samples returned outside of this time frame will not be refunded. FULL WRITTEN QUOTES

Quotes can be ordered from our online shop. Quotes are valid for 30 days and are subject to sight of final text/maps/illustration/design requirements. Quotes will be emailed to you. We will endeavour to email your quote within 7 working days of your order. At busy times quotes may take longer. The cost of your first quote will be credited towards your first stationery order. You will need to provide your quote order number to receive your credit.

Cancellations

If you wish to cancel your quote order please email info@chartula.co.uk as soon as possible, and no later than 24 hours after placing your order for a refund. Please quote your name and order number in all correspondence. If we have already begun work on your quote we reserve the right to refuse your refund request.

 

CONSULTATIONS

Consultations can be ordered from our online shop. We will contact you to arrange your consultation. We will do our best to accommodate one of your preferred consultation dates. However this may not always be possible, in which case we will offer an alternative. Consultations in person take place at a venue in London or Oxford, we will discuss an appropriate venue with you. The cost of your first consultation will be credited towards your first stationery order. You will need to provide your consultation order number to receive your credit.

Cancellations

If you wish to cancel your consultation please email us at least 24 hours before your consultation for a full refund. Consultations cancelled less than 24 hours beforehand will still be charge for.

 

CREDITS

Credits from Full Written Quotes, Full Consultations and Sample Pack orders can only be used once and are only redeemable against your first personalised stationery order of £1000 or more.
